When hiring a facility, usage of the kitchen is included. However if you only need to borrow the kitchen, then is it possible to hire only the kitchen portion of the facility which comes under a separate rate (see Fees & Charges section).
Additional Equipment
If your particular event requires extra chairs or tables, you may request the number of each you need for the event on the booking hire form. Shire workers will then bring in the requisite number of chairs and tables, so please give us at least a week's notice as our workers may be too busy to do so within a day of being notified.
Process for Facility Hire
Before we can proceed with any bookings, you will need to know the exact date/s, times for those date/s, and for how long if you are booking is recurring, and for which venue/s. Once you have that information, please get in touch with us by email or phone and we will check availability for the venues are seeking. If the times, dates, or venues aren't available we will let you know and you will have to modify your booking details.
Otherwise if your preferred booking arrangements are available, we will then prompt you to complete a Facility Hire Application form. Below are application packs that contain the application form, plus alcohol consumption forms and a cleaning checklist.

Alcohol Consumption
If you intend on having alcohol being consumed during your booking times, you will need to complete a Permission to Consume Liquor on Shire Property form to gain a permit. This is not permission to sell or serve alcohol, which is later down this page.
Several conditions are tied to this permit which the Applicant is required to enforce during the entire duration of the booking. These conditions are:
- Applicant must comply with the Shire of Lake Grace Local Government Property Local Law, Liquor Licensing Act 1988, conditions set down by the Department of Racing, Gaming and Liquor and other written laws pertaining to the consumption of alcohol.
- Liquor will not be consumed, supplied or made available to any person under the age of 18 yrs.
- No liquor is to be sold or supplied. To sell or supply liquor you will require a Liquor License.
- Liquor Licenses are administered by the Department of Racing, Gaming and Liquor and not the Shire. They have a webpage that explains the conditions required for an exemption from a Liquor License.
- Alcohol consumption is restricted to the premises hired only and is not to be consumed outside these premises. Consumption on public open space or reserve areas is considered illegal.
- Consumption of Liquor permits are only valid until midnight (12:00 am) at which time the permit must ceases effect. If you wish to consumer liquor past midnight please include those dates in to your application.
Serving or Selling of Alcohol
The sale and serving of alcohol is administered by the Racing, Gaming and Liquor division of the Department of Local Government, Sport and Cultural Industries (DLGSC). Please navigate to the following webpage to read up general information regarding the license types, guidelines and application processes for the sale and serving of liquor.

If you are intending to serve or sell alcohol at a Shire venue, most likely you will be applying for an Occasional Liquor License. Please see the following pages for a guide to applying for that liquor license.

You can apply for a Liquor License at the same time as making an application to hire a facility, and to gain permission to consume alcohol on Shire property.
Cleanup & Inspection
After the booking has finished, it is the responsibility of the Applicant to clean up the venue. With every Facility Hire Pack there is a cleaning checklist that should be followed, completed, and returned to us. The facility is then inspected according to the same checklist.
If the facility passes inspection, the hall hire bond is returned to you.
If the facility is found to be unclean and/or damaged you have the option of going back to clean/repair the facility, or direct us to clean/repair the facility on your behalf utilising your hall hire bonds to cover these costs.
